The two ways to delete the data
There are two ways to delete the data of a connected account, and you can carry out both yourself from the PerfectFlow CRM, in the social media module:
- Disconnect the account. The access token and the refresh token are deleted immediately from the database. From that moment PerfectFlow loses its authorisation and can no longer publish on your behalf. The account details and the posting history are kept.
- Delete the connected account record entirely. This deletes the connected account and its tokens and, in addition, the posting history for that account along with the associated image and video files.
This applies equally to Instagram professional accounts, WhatsApp Business accounts and TikTok accounts.
If you would rather we did it, or you no longer have access to the CRM, you can request it in writing following the steps below.
How to request deletion in writing
Write to info@perfectflow.cloud with the subject line Data deletion.
So that we can identify your connection, the message must include these two details:
- The Instagram username, the WhatsApp Business number or the TikTok account name you connected.
- The address of the PerfectFlow instance you connected from (the URL you use to sign in).
Without those two details we cannot locate the connection: every PerfectFlow client has its own instance and its own database, so the search is carried out instance by instance.
What we delete
When we process the request we delete the following from the relevant instance:
- The connected Instagram professional account: its identifier, its username, its display name and its account type.
- The connected TikTok account: the
open_id, the display name, the profile picture and the granted permissions. - The tokens associated with that account — the access token and, for TikTok, the refresh token as well — along with their expiry dates. From that moment PerfectFlow can no longer publish on your behalf.
- The posts created from PerfectFlow for that account: the text, the scheduled date, the identifier returned by the network (Meta's identifier or TikTok's
publish_id), the permalink where there is one, and the status with its error message. - The image and video files for those posts, in the object storage where they are held.
- The direct message conversations for that account: the threads with the name and identifier of each person who wrote, the text of the messages in both directions and their attachments.
- The stored metrics for that account: the daily follower snapshots and the reach, profile view and interaction figures for its posts.
What we do not delete
Anything already published on Instagram or TikTok is not removed by this request. Those posts live on Meta's or TikTok's servers, not in PerfectFlow, and are deleted from the Instagram or TikTok app itself.
Nor do we touch the other data in your instance unrelated to the social media module (customers, sales, inventory and so on). If you want that deleted too, say so in the same email.
How quickly we respond
We confirm we have received the request and tell you when the deletion is done, within 30 days of receiving the email with the complete details.
You can cut off access yourself, right now
If what you want is for PerfectFlow to stop publishing immediately, without waiting for us to process the request:
- Disconnect the account from PerfectFlow, in the social media module. Disconnecting deletes the tokens and the system loses its authorisation to publish.
- Revoke access from Meta, in your Instagram account settings, under connected apps and websites. On disconnecting, PerfectFlow loses its authorisation and can no longer publish, read insights or receive messages for that account.
- Revoke access from TikTok, in your account settings, under connected apps.
Any of these cuts off access, but does not delete the post records or their files: for that you need to delete the connected account record entirely from the CRM, or request it by email.
Is your data in the system of a company that uses PerfectFlow?
If you gave your details to a company — you signed up for something, asked for information, made a purchase — and that company uses PerfectFlow to manage them, that data is theirs, not ours. We only host and operate the system they work in.
Write to that company directly. They decide what is stored, for how long and what gets deleted, and they are the ones who must answer your request within the deadline the law sets.
If you write to us instead, we cannot resolve it on our own: we will forward your request to that company without delay and confirm that we did, so you know it is on its way. We delete nothing on our own initiative because, under contract, we act only on their instructions.
